How to Assign Industry Contacts to Specific Hotels on an RFP

Assign specific industry contacts to support specific hotels requested in your RFPs

How to Assign Industry Contacts to Specific Hotels on an RFP

To assign specific contacts to a specific hotel in an RFP, go to your toolbox icon, then click on Industry Contacts.

In your Industry Contacts directory, you can add or update each contact with default settings, such as requesting hotel suggestions or automatically adding to all new RFPs.

Once your directory is up to date, go to the RFP you're working on. Then, go to the send RFP tab, where you have your hotels listed.

Note: You can attach or remove contacts from individual hotels on the Proposal Tracker tab after you've sent your RFP.

Go to the industry contacts column. Click the pencil icon where it says "not assigned." There, you will see each hotel listed and who you can assign to support the RFP for this hotel.

You'll see if they overlap, you can choose one, the other, or both. Once you check off who you'd like to include from each organization, click Back.

When you've confirmed that the assignments are correct and you're ready, you can click "Send RFP" to send the RFP. On the Send RFP pop-up, press Submit. Your contacts will then be able to support your RFP for only those properties that they've been attached to.

Note: When making these changes after the RFP has been sent (on the Proposal Tracker tab), the changes are immediate, and your contact(s) will gain or lose access to the individual hotel(s) proposals right away.
