Updating Dates, Adding Hotels, and Removing Hotels on a Sent RFP

Common questions about making changes to an RFP that's already been sent — including updating dates, adding hotels, and what to do when you can't remove a hotel.

Good news — you do not need to create a new RFP to update dates or add hotels. You can make changes directly to your existing RFP and resend!


Updating Event Dates

  1. Open your RFP from the dashboard.

  2. Click the Actions dropdown in the top right corner and select Edit.

  3. Acknowledge the pop-up confirming you'd like to make program changes — note that this edit cannot be reversed.

  4. Update the dates and make any other needed changes.

  5. Go to the Send RFP tab and resend so that all hotels and industry contacts receive the updated details.

Important: When you edit criteria that could impact availability or rates (dates, room counts, F&B, event space), hotels will be required to resubmit their proposals. But we save as much as the information from the proposal they've already submitted to save the hotels time!


Adding Hotels to a Sent RFP

You do not need to edit the RFP to add hotels. Simply:

  1. Go to the Send RFP tab within your RFP.

  2. Search for and add the hotels you'd like to include.

  3. Click Send RFP — only the newly added hotels will receive the new RFP notification at this point.


Can't Remove a Hotel?

If a hotel has already received your RFP, you won't be able to remove them using the trash icon — this is by design. Removing a hotel after they've received a link could cause confusion if they try to access it later.

If you need a hotel removed after they've already been sent the RFP, please reach out to our support team via chat and we can take care of it on our end.


Need the Same RFP for a Different Year?

You can duplicate any RFP — even one that's already been sent. Look for the three stacked dots on the RFP card in your dashboard to open the action menu and select Duplicate. You will need to toggle to the 'table' view to see inactive RFPs!
