Adding, Assigning, and Managing RFP Contacts

Learn how to add and manage contacts in your RFPs, so the right people receive your requests and can support your sourcing process.

Overview:

Managing RFP contacts in Hopskip allows you to control which industry partners (NSO, GSO, DMO, etc.) are included in your RFPs and ensures hotels receive your requests through the appropriate channels.

Important Note: You are in control of which industry contact is given access to each RFP! If you don't explicitly name your NSO/GSO/DMO and send them the RFP on the 'Manage Contacts' tab, they will not have access!


Adding an Industry Contact to your RFP

  1. Click into the RFP

  2. Under the Request Builder section, select the "Manage Contacts" tab

  3. Select "Add industry contact" -> Choose to add from your Planner Toolbox or add a new contact

Adding contacts from your Planner Toolbox:

  1. Search contacts saved inside your toolbox

  2. Decide if they can suggest hotels on the RFP

Adding a brand new contact:

  1. Enter the contact's email address and click "verify"

    This will confirm that they have an existing user account in Hopskip

  2. Enter information in the remaining required fields

  3. Assign the contact's permissions

  4. Personalize your message to the contact

  5. Select "Add Contact"


Assigning Hotels to the Industry Contact

  1. Under the Request Builder, select "Manage Contacts"

  2. Select the pencil next to the contact you would like to assign

  3. Select the hotels you would like the contact to have access to

*Important Note: This is to match the supporting Industry Contact with hotels that are within their scope or chain! If you're not seeing a hotel listed for the contact to support, they may not be linked to that property- you can reach out to support via chat for more assistance.


Hotelier Contacts Are Separate!

  • Toggle the 'Manage Contacts' table to 'View By Hotels' in the right corner

  • The contacts listed for each property are managed by the hotel teams themselves:

    • You're welcome to ADD any missing contacts to this space

    • Removing or changing lead catcher settings is up to the hotel team and can't be adjusted without their permission

  • This list is for the on-property contacts that help manage the sourced hotel, not the NSO/GSO that you have specifically named, even though they may both work for a particular chain
