Overview:
The Hotel Preferences section helps you clarify your needs before sending your RFP. NSO, GSO, and DMO partners use this information to determine if they’re a good fit for your event and tailor their proposals accordingly.
Accessing Hotel Preferences
Navigate to your RFP from the Request Builder
Select Hotel Preferences from the left sidebar menu
The Hotel Preferences form will display your current settings
Configuring Your Hotel Preferences
Hotel Type
Select the type of hotels you want to consider for your event. This helps industry contacts understand your preferences and tailor their proposals accordingly.
Tip: Select one or multiple hotel types to match your event’s unique needs.
Service Level Requirements
Service Offered: Choose the type of hotel service level you require:
Full Service: Hotels that offer comprehensive amenities including concierge, room service, restaurants, and full hospitality services
Select Service: Limited-service hotels with essential amenities but fewer on-site services
Star Rating
Average Rating: Set your minimum hotel rating requirements using the 5-star rating system. You can specify:
Minimum acceptable star rating
Preferred star rating range
Quality expectations for your event or group
Preferred Hotel Chains
Preferred Chains: Select from the list of available hotel chains or add custom preferences.
Adding Custom Chains:
Use the "Other" section to enter additional hotel chain names
Separate multiple chains with commas
Include both preferred and acceptable alternatives
Additional Criteria
Use the Additional Criteria text field to specify:
Special accommodation requirements
Accessibility needs
Specific amenities required (pool, fitness center, business center, etc.)
Transportation needs
Any other relevant preferences or requirements
Adding Target Locations
The Add top locations for this RFP section on the right allows you to:
Search and Add Locations: Use the search field to find and add cities
Set Preferences: Mark locations as preferred using the radio buttons
Remove Locations: Use the remove button to delete unwanted locations
Location Details: View how locations were added (e.g., "Added from hotel search")
Managing Your Location List
Preferred: Select your primary or most essential locations
Remove: Click the trash icon to remove locations from your RFP
Reorder: Adjust the priority of locations as needed
