Hotels can access RFPs on their own tracking dashboard, curate responses via the 'Proposal Builder', and submit proposals entirely within the Hopskip platform.

Proposal Areas (Hotel POV)

RFP Summary

A concise overview presenting all crucial RFP details upfront, helping hoteliers quickly assess their ability to bid on the opportunity. Depending on Profile Settings, your contact information (email and/or phone) may be visible here.

Program Info

Details about the group and event profile, including event success factors, deal breakers, and previous event history. This helps gauge the event's scope and background.

Room Rate

Communicate room block requests and submit rates for specified date ranges. Hotels can:

  • Submit rates for specific dates and decline others

  • Propose alternative date ranges if allowed in the RFP

  • Note: Hidden for event-space only RFPs

Event Space

Detailed requirements for event spaces, including room layouts and setups. Access room-specific or agenda item-specific notes and attachments.

Food & Beverage

View catering and dietary requirements for meeting attendees. Hotels can either submit a Food and Beverage Minimum or provide detailed rates based on specific requests for each agenda item.

Questions

Respond to specific clarifications requested by the planner. Each question requires a response from the hotel. Questions can be multiple choice, numeric, or other formats.

Concessions

Approve or decline requested concessions. If approved, provide a monetary value for each concession (zero is accepted).

Attachments

Additional documents such as floor plans and other relevant files. New attachments can be added at any time without requiring RFP edits or resubmission.

Contract Details

Key contractual information including contract signatory, reservation methods, payment methods for various event components, and master account setup details.

Contract Clauses

Custom contract clause requests appear here. Hotels must "acknowledge receipt" of any requested clause.


*Important Note: Acknowledging receipt is not approval—it indicates willingness to discuss the term during negotiation.


Submitting Their Proposal

The Submit Proposal tab is where they finalize all details:

  • Enter financial details, taxes, and fees

  • Edit proposal contact information

  • Indicate event space hold status

  • Document proposal expiration date

  • Add detailed taxes and fees breakdown

After clicking "submit proposal," a confirmation page displays totals and contact information before submitting directly to the planner.


Post-Submission Features

Track Proposal

Monitor proposal status and receive feedback or updates from the planner after submission.

Follow-Up/Message Planner

Connect and message with the planner in real-time for quick clarifications or updates, promoting smoother operations.

*Note: Planners can toggle this feature on/off at their discretion!

Reports

Download RFP and proposal PDFs. The Proposal PDF becomes available only after submission.
