Creating RFPs - New, Template, Duplicate

A guide to creating your RFP from scratch, a template, or a duplicate

Create an RFP- Brand New or From a Template

  • Select "Create RFP" in the top right corner of your dashboard

  • Enter the RFP name (Required)

  • Choose to create a brand new RFP or to create from a pre-saved template

  • Select the RFP elements (Questions, Concession Requests, Contract Clauses, Contacts) that you would like to add from your planner toolbox

    • Important Note: You can always add/remove these during the request builder, even if building from a template!

  • Select 'Create RFP' again to launch the Request Builder and begin filling in any remaining RFP content


Creating a duplicate of an RFP or a saved template

How to Duplicate

  • Find and open the existing RFP that you want to copy

  • Click the duplicate icon in the upper right corner

  • A pop-up window will appear giving you two choices:

    • Create a Template (for later reuse)

    • Create a Copy (to send immediately)

  • When prompted, enter a unique name for the duplicated RFP to help you distinguish it from the original RFP in your dashboard

  • Confirm your selections and click 'Create RFP'

  • The system will generate a copy of the RFP with all original information included

What Gets Copied

When you duplicate an RFP, the following information is typically copied:

  • Request details and requirements

  • Room block information

  • Industry Contacts

    • Important Note: Please review any contacts included on a duplicated RFP before sending as the property lists will most likely be different!

  • Event space requirements

  • Questions and concessions

  • Custom settings

Important Notes

  • The duplicate creates a completely new RFP with a new RFP code

  • You'll need to review and potentially update dates, room blocks, and hotel selections

  • The "copy" option creates an RFP ready to send, while the "template" option saves it for future use without immediately creating an active RFP

  • If you plan to reuse the same RFP structure multiple times, consider creating a template instead of duplicating each time.

    • Templates allow you to save the RFP structure and reuse it for multiple events without having to duplicate repeatedly.

    • This feature is particularly useful for planners who regularly organize similar types of events or have recurring programs with consistent requirements.
