How to update your RFP and what happens after!

How to Update Your RFP

Click on the pencil icon in the top right-hand corner of your RFP to begin making updates.

  • If you need to edit criteria that could impact availability or rates (event dates, room counts, food and beverage, event space, etc.) toggle the button to 'ON'

  • Then click Edit RFP

  • Important Note: You must resend the updated RFP so that industry contacts and the associated hotels receive the new details

  • Tip: You may remove one or more hotels from the 'Send RFP' tab before you send the updated RFP

    • Any hotels that have been removed will no longer be displayed in reports, so make sure you run reports first if you need to keep a record that those hotels were originally included.

You do not need to edit the RFP to add additional hotels, update industry contacts, update program information, or to add attachments!


What happens to the the proposals I received when I update my RFP?

Depending on the update you make to your RFP, hotels may or may not be required to update their proposals to reflect their updated requests. (See list below)

Hotels will be required to respond again when you've edited specific criteria that could impact availability or rates for your proposal such as:

  • Event dates

  • Room counts

  • Food and beverage

  • Event space

Hotels will NOT be required to respond again to your updated RFP when you make the following edits:

  • Proposals Due Date

  • Decision/Proposal Selection Date

  • Additional hotels

  • Program information

  • Contacts

  • Questions

  • Concessions

  • Attachments
