Proposal Builder Overview [New Experience!]

How to build your proposal in the updated Proposal Builder — step-by-step!

Proposal Builder Breakdown

Start on the RFP Summary, then work through each step in the left-hand navigation. Each step shows its status:

  • ✅ Green check: complete

  • 🚩 Red flag: needs attention (hover for details)

Once every step is complete, the Submit button in the header will activate.

Step 1: Review the RFP

Open the RFP and start on the RFP Summary to review:

  • RFP Summary: Key event details, including group type, peak room nights, event space needs, lead source, and planner contact information.

  • Program Info: Group/event profiles, success criteria, deal breakers, and event history.

  • Contract Details: Planner contact, contract signatory, payment terms, and reservation methods.

Assigning a teammate: Use the owner dropdown in the header, next to your hotel name, to assign the proposal to yourself or a teammate, or to invite someone by email. They'll get an email notification automatically.

💡 If the RFP requires event space and you haven't saved any meeting rooms to your profile yet, you'll see a prompt to upload your floor plan. Hopskip will pull your room details automatically so they're ready to assign in the Event Space step.



Step 2: Build Your Proposal

Complete each step in the left navigation:

  • General Details

  • Room Blocks

  • Event Space

  • Food & Beverage

  • Questions

  • Concessions

  • Contract Clauses

  • Taxes & Fees

  • Attachments

Bonus Tip!

Set up Proposal Settings (the gear icon in your main menu) once, and your rates, taxes, F&B pricing, and response templates will pre-fill every new proposal moving forward.


General Details

  • Requested Event Dates: Respond to each date range the planner requested. Use the toggle to decline any range you can't offer.

  • Suggest Alternate Date: If the planner allows alternate dates, use this panel to propose new ones. See How to Propose Alternate Dates.

  • Hotel Contact: Pre-filled from the assigned hotelier (if applicable).

  • Proposal Dates: Expiration & cut-off dates

  • Promotions: If the planner selected a promotion, choose Apply, Don't Apply, or Apply a Different Promotion. (Only if applicable, a promotion isn't required if the planner didn't select one.)

Room Blocks

  • Rates are organized by each accepted date range, with a tab for each range and a day-by-day accordion inside.

  • If the date range is not toggled ON in the general tab, it will not appear here to set rates.

  • Bulk Apply Rates: Set a rate once and apply it across multiple days in a few clicks.

  • + Add Room Type: Add Single, Double, Triple, Quad, Staff, or Accessible/ADA rooms.

  • Per-day notes: Leave the planner a note on a specific day's block.

  • A running summary shows rooms offered vs. requested, and revenue vs. budget.

  • Room tax isn't entered here. It's set once in Taxes & Fees.

Event Space

  • Import your meeting space: Upload a floor plan or room list and Hopskip extracts your room details automatically.

  • Assign a space: Pick a room from your hotel's inventory for each session.

  • Bulk Assign: Choose a space, check off every session it applies to, and assign them all at once. You'll get a warning if the space doesn't meet a session's capacity.

  • Mark as TBD: Mark sessions as To Be Determined. Note that planners may favor proposals with actual rooms assigned.

  • Filter sessions by time, function, layout, or capacity.

  • A summary bar tracks Total Spaces Assigned and Pending/Complete status.

Need to add or edit a room? Rooms can't be created inside the proposal. Use the button on this step to jump to your Meeting Space settings in your Hotel Profile, add or update the room there, and it will be available to assign when you come back to the RFP. Room dimensions can't be saved as 0.

Food & Beverage

  • Enter itemized Detailed Rates by day, pre-filled from your Proposal Settings F&B defaults.

  • Use the Offer toggle for each item and Reset to Default to restore your saved rates.

  • The Summary shows your estimated spend and flags discrepancies.

  • F&B minimum spend is entered on the Taxes & Fees step, not here.

Questions

  • All questions appear on one page, grouped by category with a completion counter for each.

  • Click Use Template on any response to pull in saved language from your Response Templates.

  • Every question needs an answer to complete the section.

Concessions

For each concession, choose one of:

  • Accept: enter the estimated value

  • Deny: enter a reason

  • Offer Alternative: describe what you can offer instead

Concessions are grouped by category, with completion counters and a running Total Value.

Contract Clauses

  • All clauses appear on one scrollable page.

  • Select Accept or Decline next to each clause.

  • Add an optional note, or click Use Template to pull in saved language.

  • Every clause needs a response to complete the step.

Taxes & Fees

The step has three sections: Room Block Fees, Event Space Fees (including your F&B minimum), and Rebate & Commission, which only appears if the planner requested a rebate.

  • Fields are pre-filled from your Proposal Settings- you must first update the default in your settings, then come back to the RFP and 'reset to defaults'.

  • Every field requires a value, including an explicit $0 or 0%.

  • If a field is locked, hover over it to see why and who on your team can edit it.

Attachments

  • Filter documents by All / Planner / Hotel, and search or bulk download.

  • + Add Attachment lets you upload a file (25MB max), select one from your Document Library, or attach a link.

  • This step is optional.


Step 3: Submit Your Proposal

  1. Once every step shows a green check, click Submit in the header.

  2. A Review Proposal window shows your full financial recap. Check "I have reviewed the proposal and confirmed its accuracy" at the bottom of the drawer and submit.

  3. After submission, the button changes to Edit and your proposal becomes read-only. Click Edit to make any changes later then you must resubmit!

Important Notes

  • Every date range must be responded to. Either offer rates or decline it on General Details.

  • Can't bid? Click the three stacked dots in the top right corner and select Turn Down RFP.

  • Stuck? The "X to fix" counter lists everything still blocking submission.
