Reviewing & Navigating Your Proposal Details

View the details of your proposal, including financials, contract terms, and more.

Meeting and Event Planners managing RFPs and reviewing hotel proposals in Hopskip.

Overview:

Each hotel’s Proposal includes all critical information about its offer, including dates, contacts, financials, activity history, comments, and action buttons.

You can use this page to make informed decisions and organize your event sourcing.


Navigating to Proposal Details:

  1. Navigate to your Proposal Tracker or RFP dashboard.

  2. Click on the View Proposal button to open the Proposal Details page.

What’s Included on the Proposal Details Page:

  • Overview: Key contacts, proposal dates, comments, and important deadlines.

  • Financials: Room rates, event space rental costs, F&B costs, and other financial details (if available).

  • Room Block: The number of guestrooms proposed by room type by day

  • Event Space: View the

  • Questions: Answers to any of your questions are included in your RFP.

  • Concessions: Details on special offers, comps, or additional incentives.

  • Contracts: View or download draft contracts provided by the hotel.

  • Attachments: Download supporting documents (floor plans, menus, etc.)

Understanding the Proposal Activity Timeline:

The Proposal Activity section (right-hand side) shows a timestamped log of all updates for this proposal, including when the RFP was received, reviewed, assigned, and officially submitted.

You can use this timeline to track progress and see which contacts have taken action.

Adding Internal Proposal Notes

You can also add internal proposal notes by clicking the Proposal Notes button at the top right of the page.

Only internal team members can view Proposal Notes. Hotels do not see these comments.

Taking Actions on a Proposal:

At the top of the page, you can:

  • Begin Contracting: Starts the contracting process with the given hotel.

  • Decline Proposal: Remove the hotel from consideration.

  • Add to Shortlist: Bookmark the proposal for comparison.

  • Download: Save a PDF copy of the proposal.

Action buttons are located at the top of the Proposal Details page.


Frequently Asked Questions:

Where can I see a hotel’s comments or payment terms?

These are listed in the Overview tab under “Hotel’s Comments.

How do I download a proposal or contract?

Use the Download button or visit the Attachments/Contracts tabs.

Can I see who submitted or updated a proposal?

Yes. The Overview and Proposal Activity timeline shows all contact info and activity.
