How to Decline Meeting Space on a Proposal

If your property doesn't have meeting space to offer, you can still submit your proposal for room rates by entering a placeholder meeting space name.

If your property doesn't have meeting space to offer, you can still complete the Meeting Space tab and submit your proposal by entering a placeholder name.

Why this is needed

The Meeting Space tab requires a meeting space name before a proposal can be submitted. Simply leaving it blank isn't an option — but you don't need to offer real space to move forward.

What to do

In the Meeting Space Name field, enter a name that clearly communicates you're not offering space. Examples:

  • Meeting Space Declined

  • No Meeting Space Available

  • No Meeting Space Offered

Any variation works as long as the intent is clear. That's the only required field — once it's filled in, you're good to submit.

Note on TBD

If the planner has enabled the TBD option on their RFP, you may see a "Mark as TBD" option on the tab. You can use that instead — but if TBD isn't available, the placeholder name method above will always work.
