Understanding HopSkip Account Roles: What Each Role Can (and Can't) Do!

A quick-reference guide to every HopSkip account type — who they are, what they can do, and how they fit into the RFP process.

HopSkip has several account types, and it's common to wonder which role fits your situation — or why a team member's dashboard looks different from yours. This article breaks down each role so you know exactly what to expect.

Quick note: Each HopSkip account is tied to one role per email address. If you need access to two different dashboards (e.g., you submit proposals and manage an NSO account), you'll need two separate logins. Not sure which role you have? Chat with our support team — we're here 8am–8pm EST, M–F.


🗓️ Planner

Who this is for: Meeting and event planners sourcing hotels for their programs.

What a Planner can do:

  • Create, send, and manage RFPs

  • Review and compare hotel proposals

  • Add industry contacts (NSOs/GSOs, DMOs, Affiliates) to RFPs

    • And can set them to "Always Include" in the Toolbox, so they're automatically included on every new RFP from that point forward

  • Save preferred contacts and settings to a personal Planner Toolbox

  • Select and book a hotel directly through HopSkip

What a Planner cannot do:

  • Submit hotel proposals

  • Manage hotel team members or lead catcher settings


🏨 Hotelier

Who this is for: Hotel sales staff who receive RFPs and submit proposals on behalf of their property.

What a Hotelier can do:

  • Receive RFP notifications for the properties they're attached to (multiple, if needed)

  • Build and submit proposals in response to RFPs

  • Manage their own property profile(s)

  • Assign/invite teammates to the hotel profile and RFPs

What a Hotelier cannot do:

  • See RFPs for hotels they are not explicitly attached to

  • Access the NSO/GSO (Supplier) dashboard — that's a separate role and login

  • Suggest hotels or add industry contacts on a planner's RFP

Lead Catcher: This is a designation within the Hotelier role. A Hotelier with "Send All RFPs" enabled in the property settings will automatically receive every incoming RFP for that property — no manual action needed from the planner. The lead catcher setting should be maintained by the hotel team.


🤝 Affiliate

Who this is for: Third-party sales organizations (e.g., ALHI, Teneo, Preferred) that represent a portfolio of independent hotels and earn commission on bookings they help secure.

What an Affiliate can do:

  • Receive RFP access when added by name by a planner

  • Suggest additional hotels (when the planner has toggled this on, can vary with each RFP)

  • Add hotel contacts to an RFP- help direct it to the appropriate teammate to build the proposal response

What an Affiliate cannot do:

  • Access RFPs they haven't been explicitly added to by the planner

  • Submit proposals on behalf of a hotel

  • Manage hotelier accounts or property settings


🌐 NSO / GSO (National or Global Sales Organization)

Who this is for: Corporate or brand-level sales contacts who represent a specific hotel chain (e.g., Marriott, Accor, Sandals). Also referred to as a Supplier in HopSkip's system.

What an NSO/GSO can do:

  • Access RFPs they've been added by name to by the planner

  • Suggest hotels within their chain and add hotel contacts

    • If you're unable to suggest the hotel you have in mind, we may need to update their chain/brand to best align with yours!

  • Help facilitate timely responses from properties in their portfolio via hotel outreach and encourage them to submit their reply via Hopskip

What an NSO/GSO cannot do:

  • Access RFPs without being explicitly named by the planner.

  • Submit hotel proposals (that requires a separate Hotelier account)

  • See the Hotelier dashboard — each role has a completely separate interface

⚠️ Heads up: If you need to both manage NSO/GSO responsibilities and submit proposals as a hotelier, you'll need two separate HopSkip accounts (one for each role). One email address cannot hold both roles at the same time. Contact our support team and we'll help you get set up correctly.


📍 DMO / CVB (Destination Marketing Organization)

Who this is for: Organizations that promote specific cities or markets (e.g., Visit San Diego, Discover Atlanta) and help direct group business to local hotels and venues.

What a DMO/CVB can do:

  • Receive RFPs when added by name by a planner

  • Suggest hotels within their destination and add hotel contacts

    • If you're unable to suggest the hotel you have in mind, we may need to add them to your destination's list of hotels!

What a DMO/CVB cannot do:

  • Access RFPs without being named by the planner

  • Submit hotel proposals


🔒 Sales Ops

Who this is for: Chain-level employees (e.g., at Hyatt or Marriott corporate) who need ONLY visibility into RFPs sent to hotels within their brand — without direct planner or proposal interaction. Like a 'read only' role designed for administration users to help maintain internal sourcing details.

What Sales Ops can do:

  • View RFPs sent to hotels in their associated chain(s) and/or portfolio

  • Add hotel contacts and follow up with hotel sales teams on behalf of planners or HopSkip

  • Help provide Hopskip the correct lead catcher contact, when needed

What Sales Ops cannot do:

  • Be added or invited by a planner — Sales Ops accounts are set up by HopSkip admins only

  • Suggest hotels or be visible to the planner

  • Submit proposals


Need to change your role?

Role changes require our support team's help — you can't switch account types on your own. If your role isn't matching what you need to do (for example, you're showing as an Affiliate but need to be a Hotelier, or your dashboard looks unfamiliar), just reach out and we'll get it sorted quickly.
