Client Profiles Guide

Create centralized profiles for your repeat clients to store preferences, contacts, documents, and branding.

Overview

If you manage events for the same client or group again and again, Client Profiles saves you from re-entering their information every time. Store a client's preferences, settings, contacts, documents, and branding once — then apply them to every new RFP you create for that client or add existing RFPs!

To access: Go to your Toolbox, click Contacts, then click Clients.

Client Roster

The Clients page shows every client profile you've created, along with company name, contact person, industry, location, and when it was last updated.

  • Click Add Client to create a new profile

  • Click any client's name to open their full profile

What's Inside a Client Profile

Manage client details and preferences to automatically display in new RFPs. Each profile is organized into the following sections:

Client Overview

  • Client name and location

  • Industry/sector

  • Contract signer contact information

  • Primary contact name and email

This is also where you upload the client's logo and set their primary and secondary brand colors, which are used in Presentation Tool (PPTX) exports for that client. If no branding is uploaded, exports use standard Hopskip styling.


RFP History

Track and review all RFP activity related to this client.

Note: This tab is go-forward only. Only RFPs created and associated with this client profile going forward will appear here — RFPs created before the profile existed won't show up automatically but can be added with the 'Add Existing RFP' button.


Contacts

Add as many contacts as you need for a client — name, title, email, phone, and address.

  • Click the star next to a contact to mark them as primary (this is for your visual reference only and doesn't affect any auto-population)

  • Any saved contact becomes available in the Contract Signatory dropdown when you build an RFP for this client


Attachments

Upload brand guidelines, contract templates, and other standard documents once. They'll automatically appear in the Attachments tab of every RFP you create for this client, so you're always working from the current version.

  • You can remove a client attachment from an individual RFP without affecting the file saved in the client profile


RFP Settings

Save time by pre-setting payment methods and preferred chains for this client.

  • Default currency

  • Payment methods for Room Block, Meeting Space, F&B, and Audio Visual

  • Preferred hotel chains


Notes

Keep internal notes about this client's preferences and requirements for quick reference. Notes are visible only to you and your organization admins.


Creating an RFP for a Client

You can start an RFP for a client two ways:

  • Click Create RFP directly from the client's profile page

  • Select the client from the client dropdown in the Create RFP modal

Either way, everything saved to that client's profile flows into the Request Builder automatically:

  • Default currency and payment methods

  • Preferred hotel chains

  • All uploaded attachments

  • Contract Signatory dropdown populated with the client's saved contacts

Fields that were auto-populated from a client profile show a small lightning bolt icon — hover over it to confirm where that value came from.

A dismissible notification also summarizes what was auto-populated when the Request Builder first loads.

Overriding Client Settings

Anything that auto-populates from a client profile can be changed for that specific RFP without affecting the client profile itself. For example, if a client usually prefers GBP but one event needs USD, just update the currency on that RFP — the client profile stays unchanged.

  • If you edit an auto-populated field, the lightning bolt icon stays in place to show where the original value came from

  • Client attachments can also be removed from an individual RFP without deleting them from the profile

Client Branding in Presentations

Once you've uploaded a client's logo and brand colors, they're automatically applied to Presentation Tool (PPTX) exports for any RFP tied to that client — logo in the bottom right corner, colors used for backgrounds, borders, and accents. This only affects PPTX exports; other report types keep standard formatting.

Reporting by Client

Open Pipeline, Bid History, Bookings, and Cost Savings reports all include a Client filter and column, so you can view one client's data or compare several. From a client's profile page, clicking a metric card (RFPs Submitted, RFPs Contracted, Booking Value) opens the relevant report pre-filtered to that client in a new tab.

Who Can See a Client Profile?

Client profiles are visible only to you (the creator) and your organization's admins. Other planners on your team won't see a profile you've created unless they're an admin, and clients themselves don't have access to their profiles.

Tips for Success

✓ Set up a profile the first time you work with a repeat client, not the tenth
✓ Keep RFP Settings current so auto-population stays accurate
✓ Star your main point of contact for each client for quick reference
✓ Double-check the lightning bolt fields before sending — you can always override them
✓ Upload branding early so your PPTX exports stay consistent from day one
